WhatsApp Automation ROI Calculator

Estimate how many hours and how much operational cost your team could potentially free up by automating the repetitive part of its customer conversations on WhatsApp.

Your numbers

Rough figures are fine — change anything and the result updates as you type.

Across every channel your team answers.

min

Minutes of actual agent time, start to finish.

%

Order status, opening hours, standard questions, the same intake details.

%

Your own judgement — most teams start somewhere between 30% and 60%.

€

Fully loaded: salary plus employer costs, per productive hour.

% / month

Leave empty to keep volume flat across the year.

Fill in 5 more fields to see your estimate. Nothing is sent anywhere and no contact details are needed.

These figures are estimates based on the values you entered. They are not guaranteed savings: what you can actually automate depends on your processes, systems, WhatsApp setup and the technical requirements that come with them.

A large share of customer conversations is the same handful of questions: where is my order, what are your opening hours, can I move my appointment, what does this cost. Handling them one by one is what fills a support day. This calculator turns that into numbers you can actually look at. Enter how many conversations you handle each month, how much of that is repetitive, how long an average conversation takes, what an hour of your team's time costs, and how much of the repetitive part you think could realistically be automated — and it works out the hours spent today, the hours that could potentially be freed up, what that is worth per month and per year, and how much of the manual handling workload would come off the team's plate. Every line of the calculation is shown with your own numbers substituted in, so you can follow it yourself instead of taking a figure on trust. Change any value and everything recalculates instantly. No sign-up, and no contact details before you see the result.

Frequently asked questions

How does the calculation work?

In five steps. Your conversations per month × your average handling time gives the total manual hours. That total × your repetitive share gives the hours spent on repetitive conversations. Those hours × the share you think could be automated gives the monthly time saving. The monthly saving × your hourly cost gives the monthly cost saving, and both are multiplied by twelve for the annual figures. The workload reduction is the automatable hours as a share of all manual handling hours. Every step is listed on screen with your own numbers filled in.

What counts as a repetitive conversation?

Anything predictable enough that the answer barely changes: order and delivery status, opening hours and locations, appointment confirmations and reminders, standard product or price questions, returns and warranty procedure, collecting the same details at the start of every case. Complaints, negotiation, advice and anything sensitive are not repetitive, and they're the conversations worth keeping with a colleague.

What should I put in for the hourly cost?

The fully loaded cost of an hour of the time being spent — gross salary plus employer costs, divided by productive hours — rather than a net hourly wage. If you don't have that figure to hand, a rough number is fine: the calculator is a way to see the order of magnitude, and you can change the value and watch the result update.

What does the optional growth figure do?

It projects your conversation volume forward. Entering 5% compounds the volume by five percent each month, so the calculator also shows what month twelve looks like and adds up the savings across all twelve months instead of multiplying month one by twelve. Leave it empty and the annual figures are simply the monthly figures times twelve.

Are these guaranteed savings?

No. They're estimates built entirely from the values you entered, and the biggest of those — how much you could automate — is your own judgement. What is actually achievable depends on your processes, the systems you run, your WhatsApp setup and the technical requirements that come with them. Treat the result as an indication of scale, not a forecast.

Does freed-up time mean fewer people?

Not usually, and that's not what the figure measures. It's handling time that stops being spent on repetitive questions — most teams put it back into the conversations that need a person, longer opening hours or a shorter queue rather than into headcount.

Do I have to give my email to see the result?

No. The full calculation, every step and the summary appear on screen as you type. There's no sign-up, no email gate, and nothing to unlock.

Do you store what I enter?

We keep an anonymous record of completed calculations — the volumes, percentages and resulting figures — to see how the calculator is used. It contains nothing that identifies you or your company, and we never ask for your name, email or company to show you the result.
